How to send bulk WhatsApp messages, step by step

Everything from a raw spreadsheet to a finished campaign: how to format the list, personalize the text, choose delays that do not look like a script, and read the results afterwards.

$9.99/month or $69.99/year · no account, no sign-up — pay and paste the license into the extension.

Your three options, honestly

Broadcast Lists are built into WhatsApp and free, but recipients only get the message if they saved your number, and each list caps at 256 people. Fine for a small customer base, useless for a lead list.

The WhatsApp Cloud API is the official route at scale: business verification, pre-approved templates, per-conversation pricing and a developer to wire it up. Right for enterprise, heavy for a shop.

A browser extension drives your own WhatsApp Web session: your number, no approval, no per-message fee, full control over pacing. That is what this guide covers with WhatsApp Sender Tool.

The six steps

  1. 01

    1. Install and open WhatsApp Web

Add the extension to Chrome, Edge or Brave, then open web.whatsapp.com and scan the QR code with your phone as usual.

  2. 02

    2. Build a clean list

One column of numbers in international format, an optional name column. Import the CSV or Excel file; duplicates, malformed numbers and blacklisted contacts drop out automatically.

  3. 03

    3. Write the message

Short, one idea, one question. Insert {{name}} where the person's name goes, attach media if needed, and save it as a template for next time.

  4. 04

    4. Set the pacing

A 20-45 second random delay, a daily cap you can defend, business hours only, and a long pause every 30-50 messages.

  5. 05

    5. Send with the tab open

Start the campaign and leave WhatsApp Web open. Progress and failures show live, and you can pause at any point.

  6. 06

    6. Export and follow up

Download per-contact results as CSV or JSON, move the people who replied into the deals pipeline, and add anyone who opted out to the blacklist.

Formatting the phone numbers

Numbers must be in international format: country code plus the national number, no plus sign required, no spaces, dashes or brackets. A UK mobile becomes 447700900123, a Brazilian one 5511987654321. If your export has local formats, run it through the free Excel to WhatsApp converter first, or see how to export your existing contacts.

Safe pacing, in numbers

  • New number: 30-50 messages a day for the first two weeks
  • Warmed number with replies: a few hundred a day
  • Random delay of at least 20-45 seconds between messages
  • Long pause of several minutes every 30-50 messages
  • Send only inside the recipient's business hours
  • Never two campaigns to the same list in one week
  • Stop the campaign if failures or no-reply rates spike
  • Add every opt-out to the blacklist the same day

Mistakes that cost people their number

Buying a list is the big one — those people never gave consent and reporting you is free. After that: identical text to hundreds of contacts, a fixed one-second delay, sending overnight, and a message with no context so the recipient has no idea who is writing. Fix those four and bulk sending stops being risky.

Details on each control are in the automation feature page.

Frequently asked questions

How do I send bulk WhatsApp messages without saving contacts?

Import the numbers as a list instead of saving them to your phone. The extension opens each chat by number through WhatsApp Web, so nothing is added to your address book and Broadcast List limits do not apply.

Can I send bulk WhatsApp messages for free?

WhatsApp's own Broadcast List is free but only reaches contacts who saved your number and caps at 256 recipients per list. Free extensions usually drop personalization, delay randomization and daily caps, which is exactly the part that keeps a number safe.

How long does a 500-message campaign take?

With a realistic 20-45 second random delay, roughly five to six hours of wall-clock time. That is intentional: sending 500 messages in ten minutes is the clearest bot signal there is. Spread it over two or three days for a new number.

Will my number get banned?

Not by volume alone. Bans follow reports and robotic patterns: identical text, fixed delays, strangers who never gave consent. Personalized messages to your own opt-in list, paced randomly inside business hours, behave like normal use.

What format should my contact file be in?

A CSV or Excel file with one column of phone numbers in international format (country code, digits only) and optionally a name column for {{name}} personalization. The importer strips spaces, dashes and duplicates.
